  • Client Information: When you register for Voxrivet, we collect your business name, email address, payment information, and configuration preferences.
  • End-User Data (Your Callers): In the course of providing the Service, our AI interacts with your customers. We collect and process audio recordings, transcripts of conversations, caller ID (phone numbers), and any personally identifiable information (PII) the caller voluntarily provides during the call (e.g., names, home addresses, service needs).

2. How We Use Your Information

We act as a data processor for the End-User Data. We use the information we collect to:

  • Provide, operate, and maintain the Service.
  • Transcribe audio calls and route actionable data (like appointments) into your CRM.
  • Monitor and improve the performance, intelligence, and accuracy of our AI models.
  • Provide customer support and technical assistance.

3. Data Sharing and Sub-Processors

We do not sell your data or your customers' data. We only share information with trusted third-party sub-processors necessary to deliver the Service. These may include:

  • Telecommunications providers (e.g., Twilio) to route phone calls.
  • Large Language Model (LLM) API providers (e.g., OpenAI, Anthropic) to process conversational logic.
  • Cloud hosting providers to store encrypted recordings and transcripts.

All third-party sub-processors are bound by strict data processing agreements and confidentiality obligations.

4. Data Security & Retention

We use administrative, technical, and physical security measures to help protect your personal information and call data. Audio recordings and transcripts are encrypted at rest and in transit.

We retain End-User Data for as long as your account is active, or as required by law. You may request deletion of specific call logs or transcripts at any time via your dashboard or by contacting support.

5. Your Privacy Rights (CCPA / GDPR)

Depending on your jurisdiction, you or your end-users may have the right to request access to, correction of, or deletion of personal data. As the Data Controller, the Client is responsible for fulfilling end-user privacy requests. Voxrivet will assist the Client in fulfilling these requests by providing tools to export or delete specific data records.
